TRAVEL GRANTS

The CSAP travel grants are intended to provide funding to members of our community presenting their work in academic events.

​

The aim of these grants is to stimulate the diffusion of research generated by CSAP members. 
 

There will be up to four (4) grants, 2 for Fall 2022 and 2 Spring 2023. Each grant will cover up to 500 USD. These funds can be used by the student to cover expenses related to the participation in an academic event, as regulated by the restrictions of this grant. CSAP travel grants must be used to complement other funding sources the applicant may have. The recipient commits to give a talk to the CSAP community.

ELIGIBILITY

​

Domestic travel and virtual events

 

  • The Travel Grant is provided for domestic and international travel for the following purposes:

  • Virtual/ Domestic academic events/conferences:

  • Attend a virtual or domestic conference or academic event where the grantee will present a poster or oral presentation.

  • Applicants must be Purdue students (undergraduate or graduate students) and must be enrolled at least as a half-time student (.50).

  • Applicants must be registered as CSAP members (through BoilerLink, https://boilerlink.purdue.edu/organization/csap) at the moment of submitting the application.

  • Applicants must submit only one grant application per period.

  • Current members of the CSAP board are not eligible to apply if the date of the conference is during the duty period.

  • Approval from your Principal Investigator or department to attend the virtual/ domestic conference.

APPLICATION PROCESS

​

   Documents

​

  • Proof of acceptance of your presentation/poster for the conference (e-mail, letter). If at the time of application an acceptance decision is not available, a proof of abstract submission will be required.

  • Copy of unofficial transcript.

  • Academic  Statement (maximum 250 words) describing your research and importance of your attendance to this conference.

  • Involvement Statement (maximum 200 words) describing your contribution and involvement with CSAP. Describe your attendance, volunteering and role within the CSAP if any. This is an opportunity to tell us about your support to CSAP!

  • Proof of CSAP boilerlink membership (go to https://boilerlink.purdue.edu/organization/csap and send the screenshot found under the “My Memberships” link)

  • Proof of approval from your Principal Investigator or department to attend the conference (e.g e-mail, letter).

Fill out the form following the link. Upload in the form a .zip folder file including all the documents required. If any of the previous documents are missing you application will be discarded.

SELECTION CRITERIA

​

Your overall application is evaluated based on your academic profile and your involvement and volunteering experience with CSAP.

  • The Academic Statement will be evaluated by a panel of external researchers/faculty and will count towards 80% of the overall evaluation.

  • The Involvement Statement will be evaluated by the CSAP board and it will count towards 20% of the overall evaluation.



Criteria for evaluation of the academic statement

​

External, non CSAP researchers or faculty will score applicants academic statements on a scale from 1 to 5, where 1 is poor and 5 is excellent, based on the following criteria:

 

  • The statement is coherent, concise and well structured.

  • The statement displays a clear description of the purpose of the research.

  • The statement states the importance of the attendance to the conference.

  • Optionally, the statement may describe the relationship of your research with Colombia. While not required, applicants working on topics related to Colombia are encourage to explain such connections.

 

Criteria for evaluation of the involvement statement

Attendance

     Excellent(5): Attends 80%-100% of CSAP events during the previous year in the event.

     Fair(3): Attends 60%-80% of CSAP events during the previous year in the event.

     Poor(1): Attends less than 60% of CSAP events during the previous year in the event.

Volunteering

     Excellent(5): Volunteers for 80%-100 of all CSAP events.

     Fair(3): Volunteers for 60%-80 of all CSAP events.

     Poor(1): Volunteers less than 60% of all CSAP events.

Member of CSAP board

     Excellent(5)Applicant was member of the CSAP Board.

     Poor(1): Applicant has never been a member of the CSAP Board.


 

Important notes

​

  • Two grants will not be allocated  to the same college per travel grant period  (Fall, Spring). Exceptions will be studied on a case by case basis.

  • If you are selected and turn down a grant, you will be ineligible for 2 travel grant periods to participate in the CSAP travel grant. Exceptions will be studied on a case by case basis.

  • If an awardee declines a travel grant, the grant might be re-assigned to the applicant with the next highest score.

REIMBURSEMENT/ALLOCATION OF FUNDS

​

The funds will be delivered in the form of reimbursement for the expenses paid by the awardee during the academic event.

​

  • The individual student will receive a reimbursement check from CSAP once all pertinent receipts (original or copies) have been submitted via email.

  • CSAP or the Business Office for Student Organizations (BOSO) may request proof that travel was made. Proof documentation includes but is not limited to: program, agenda, photos, etc.

  • CSAP, may at any time request back-up documentation on an expense supported by the Travel Grant. Typically an individual will be contacted by email. It is the individual’s responsibility to respond in a timely manner to any questions CSAP or the BOSO may have about expenditures.

The following list describes expenses  that are eligible for reimbursement:

  • Registration to the conference or academic event.

  • Lodging (hotel, airbnb, etc.).

  • Transportation (airplane, bus, train, taxi, uber, lift, etc.).

  • Food and nonalcoholic drinks

Restrictions

​

Following restrictions that are in placed by the guidelines provided by the Purdue Graduate Student Government Travel Grant, CSAP travel grant funds may not be used to fund the following expenses:

​

  • Personal travel.

  • Items and expenses not included in the original travel grant application.

  • Purchase of beer, wine or other alcoholic beverages.

  • Plaques, prices, scholarships, awards, trophies, medals or other related gift items.

  • Payments to invest in or provide capital for any business or commercial enterprise, or any activity intended to generate profit.

  • Anything found in violation of law and/or Purdue University rules, regulations, policies and procedures.

In addition,  purchases of the following items are also prohibited:

​

  • Firearms, weapons, or ammunition.

  • Tobacco or tobacco-related products.

  • Illegal or illicit substances or devices.

  • Controlled substances.

  • Pornography or related products.

  • Any court actions.

  • Costs or litigation against Purdue University, of its employees in fulfillment of their duties, or against its students.

  • Rental vehicles and rental vehicle insurance, unless proper justification is provided.

  • Incidental travel not on the original application.

  • Travel costs for a graduate student engaged in lobbying, class work requirements, or job searching.

  • Professional association dues, even if required to attend a conference or competition.

POLICY COMPLIANCE

​

It is the responsibility of all applicants seeking this Travel Grant funds to read and understand policies and procedures of Purdue University and CSAP. Individuals that receive the travel grant funding must be in compliance with all policies and procedures at all times.
